Listing File on Applications

List your Letter Packet on your medical/dental school application to complete the set-up process. Contact recfile-premed@northwestern.edu if you have questions.

AMCAS 

In “Section 6” of your AMCAS electronic application, fill out the corresponding fields in the following manner:
     1. Letters of Evaluation: choose "Letter Packet" option
     2. Letter Title: NU Recommendation Letter Packet
     3. Primary Contact/Author: Brian Keiller (first/middle/last) no prefix/suffix
     4. Primary Contact/Author E-mail: recfile-premed@northwestern.edu
     5. Primary Contact /Author Phone: (847) 467-4281
     6. Institution Address:      Health Professions Advising 
                                               Northwestern University
                                               1940 Sheridan Road
                                               Evanston, Illinois 60208
     7. Optional: Enter the authors of the actual letters of recommendation in packet as "Other Authors"
         It is okay to leave this blank.

Be sure to record the seven-digit LETTER ID number generated by AMCAS. Once you have completed this process, access your AdviseStream account and input your AMCAS APPLICATION ID and LETTER ID under Letters of Evaluation > Letter Submission Request > Primary Application Services.

 

AACOMAS

In the letter request section of your AACOMAS electronic application, fill out the corresponding fields in the following manner:

Evaluator’s Information:

     1. First Name: Brian (no prefix)
     2. Last Name: Keiller (no suffix)
     3. Email Address: recfile-premed@northwestern.edu    
     4. Due Date: enter today’s date

Personal Message/Notes: Indicate that a letter packet will be uploaded to your application once all your letters have been received by our office and you have indicated in AdviseStream that you are ready to have your packet sent (you can do so under Letters of Evaluation > Application Information).
Waiver of Evaluation: I waive my right of access to this evaluation: Yes
Permission to Contact Reference: check "yes/agree"
Permission for Schools to Contact Reference:  check "yes/agree"

Once you have completed this process, access your AdviseStream account and input your AACOMAS APPLICATION ID under Letters of Evaluation > Letter Submission Request > Primary Application Services.

 

TMDSAS

In order to give the Rec-File Office permission to access your information and subsequently add your letter of recommendations packet to your electronic application, fill out the corresponding fields in the following manner:
     1. Under the Colleges Information section:
          a) Primary Undergrad: Northwestern Univ
          b) Release Information to Health Advisors? Choose Y for “yes”
          c) Schools to Release Information: Northwestern University
     2. Under the Letters of Evaluation section:
          a) From: Northwestern University
          b) Method: HP Committee Packet

Once you have completed this process, access your AdviseStream account and input your TMDSAS APPLICATION ID under Letters of Evaluation > Letter Submission Request > Primary Application Services.

 

AADSAS

Under the “Evaluators” Section of your electronic application, fill out the corresponding fields in the following manner:
     1. Reference Type: Choose “Electronic”
     2. Waiver: Choose “I waive my right of access to this evaluation…”
     3. Reference’s Title: type “Mr.”
     4. Evaluator’s First Name: type “Brian”
     5. Evaluator’s Last Name: type “Keiller”
     6. For the question "Is this a committee Letter?" Check “Yes”
     7. Evaluator’s School/Institution/Business: type “Northwestern University”
     8. Evaluator’s Email: recfile-premed@northwestern.edu
     9. For Evaluator’s Address information, use the following: 1940 Sheridan Road; Evanston, Illinois; 60208; USA

Once you have completed this process, access your AdviseStream account and input your AADSAS APPLICATION ID under Letters of Evaluation > Letter Submission Request > Primary Application Services.

 

Post-baccalaureate programs using an electronic application system

The post-baccalaureate programs that use an electronic application system often have a portal for letter writers to submit their letter digitally. If the electronic application process requires you to list your recommenders* and will allow our office to submit your letter packet digitally, use the following information:

  1. Name: Melissa Hoppe

  3. Name of Institution: Northwestern University
  4. Relationship to Student: Managed/Compiled Letters of Recommendation Packet
  5. Email: recfile-premed@northwestern.edu

*Please note that the above information is not applicable for electronic post-baccalaureate applications that require the listed recommender to evaluate a student’s performance. Our office does not provide that service.

How does my letter author get his/her letter to AMCAS?

Your letter author can forward your letter to AMCAS in one of the following ways:


If your institution's pre-medical advising office provides a letter of evaluation service, you may be able to arrange to have all of your letters transmitted to AMCAS through that office. Talk with your advisor to determine which type of system is used at your institution (i.e., Committee Letter, Letter Packet, or Individual Letters).

AMCAS Letter Writer Application

This application enables letter authors to upload PDF versions of letter(s) securely to AMCAS rather than send letters via the mail. Your letter writer will be required to register as a letter writer and will need your AAMC ID and AMCAS Letter ID in order to upload your letter(s).

Mail

Make sure your letter writer has a copy of the AMCAS Letter Request form, which includes your AAMC ID and AMCAS Letter ID. Your letter writer should include this form when sending your letter in order to guarantee that your letter is correctly matched to your application.

Letters should be mailed to: AMCAS, Attn: AMCAS Letters, AAMC Medical School Application Services, P.O. Box 18958, Washington, DC 20036

This address also appears on the AMCAS Letter Request Form.

Interfolio

Make certain to add your AAMC ID and AMCAS Letter ID in your Interfolio account if you are an Interfolio user. These IDs must accompany your letter in order for your letter to be matched with your application.

How to use Interfolio:
Enter the letter entry/entries in the AMCAS application before you have them sent via Interfolio.

If submitting an Individual Letter to AMCAS, you should:

  • Enter each individual letter separately in the AMCAS application.
  • Create a new delivery in Interfolio.
  • In Interfolio select "AMCAS" as your designation.
  • Select the corresponding Individual Letter(s).
  • You will then be asked for the AAMC ID and AMCAS Letter ID found on the AMCAS Letter Request Form for each Individual Letter.
  • Complete the delivery.


If submitting a Committee Letter or Letter Packet to AMCAS through Interfolio, you should:

  • Enter it once in the AMCAS application.
  • Create a new delivery in Interfolio.
  • In Interfolio select "AMCAS" as your designation.
  • Select the corresponding letter(s) that belong to the Letter Packet or Committee Letter.
  • Input the AAMC ID and AMCAS Letter ID found on the AMCAS Letter Request Form for each letter (please note: If the letter(s) are complied within Interfolio to make one Committee Letter or Letter Packet you will need to enter the same AMCAS Letter ID for all letters that belong in one Committee Letter or Letter Packet).
  • Complete the delivery.

Virtual Evals (VE)

VE is a letter service available to members of the National Association of Advisors for the Health Professions (NAAHP). If your advisor is a VE user, and you have arranged to have your letters transmitted through your advising office or career center, provide your AAMC ID and AMCAS Letter ID to your advisor these IDs must accompany your letter in order for it to be matched with your application.

How to use the VE Service:

  • Enter your VE-packet only once in the AMCAS application as either a Committee Letter or a Letter Packet, as appropriate.
  • Enter your advisor, or who the advisor designates, as the "Primary Author/Contact".
  • For Letter Packets Only: Enter the author(s) of the other letters in the packet as "Additional Authors" (optional).
  • Provide your advisor with the AMCAS Letter Request form that contains the AMCAS Letter ID.

Do letters need to be on official letterhead and signed?

Medical schools may require that your letters are written on official letterhead and include the author's signature. Research the letter requirements at the schools you plan to apply to in order to determine whether they request this formality.
